Corrective Action Request Software for CARs and SCARs

For manufacturing quality teams, corrective action request software keeps customer and internal CARs and supplier SCARs tied to the issue that opened them, with one internal response owner, response due date, evidence trail, review notes, and closure decision.

8Dflow is being built so each request stays linked to its NCR, 8D report, complaint, audit finding, corrective action, or supplier issue instead of being rebuilt from inboxes, spreadsheets, and folders.

  • Distinguish customer and internal CARs from supplier SCARs
  • Name the internal response owner and response due date
  • Keep evidence received, review gaps, notes, and closure together
  • Review open, overdue, waiting-for-response, needs-review, and closed requests

CAR and SCAR are not the same record

A CAR can be customer-driven or internal. A SCAR is a supplier corrective action request sent to a supplier. 8Dflow is being built to track both records internally while responses continue through the company's existing customer and supplier channels.

When to use a CAR or SCAR and what the internal record needs
RecordWhen it is usedWhat the internal record needs
CARA customer, audit, or internal quality process requires a formal corrective action response.Request source, internal response owner, response due date, linked NCR or 8D, required reply, evidence, review notes, and closure decision.
SCARThe quality team sends a supplier corrective action request to a supplier.Linked NCR, supplier, internal owner, supplier response due date, response received date, evidence received, missing evidence, review notes, and closure decision.

Receiving a response is not the same as accepting it. The quality team still has to review the evidence and record the closure decision.

If the team only needs to record a defect and disposition, use an NCR. If it only needs to assign and verify an internal process change, use a corrective action. Open a CAR or SCAR when a customer, audit, internal quality process, or supplier-facing request requires a response owner, due date, evidence review, and closure decision.

Manage the request from source issue to closure decision

One corrective action request record should show whether the item is a customer or internal CAR or a supplier SCAR, what issue opened it, who owns the internal response, when the response is due, what must be returned, what evidence has been received, what remains missing, and why the request is ready to close.

The planned 8Dflow record keeps this work internal. Customers and suppliers continue to exchange responses through existing channels; 8Dflow does not provide a supplier portal, shared external workspace, supplier login, supplier upload, or automated supplier emails.

Fields required to review a CAR or SCAR before closure
FieldWhat the quality reviewer needs
Request type and sourceCustomer CAR, internal CAR, or supplier SCAR, plus who issued the request and who must receive the response.
Linked issueThe NCR, 8D report, complaint, audit finding, supplier issue, or corrective action that opened or supports the request.
External partyCustomer or supplier name where applicable; internal requests remain clearly identified as internal.
Internal owner and due dateOne named internal response owner, the committed response due date, and any reviewed date change.
Required responseWhat the requester expects back, such as an 8D response, cause-and-action reply, revised document, evidence package, or closure response.
Evidence and review gapsFiles and evidence received, what remains missing, reviewer notes, and the next follow-up.
Response statusOpen, overdue, waiting on response, response received, needs review, ready to send, or closed.
Closure decisionWho reviewed the response, what evidence supported acceptance, what remains linked, and why the request is ready to close.

Workflow approvals are not certified electronic signatures. Review every report before sending it to a customer, supplier, or auditor.

Review supplier responses before closing the SCAR

A supplier response is not closed just because someone replied to the email. The SCAR remains open until the quality team reviews the required evidence, records any gaps, and makes the closure decision.

A supplier may return a cause statement without the revised process document, action evidence, verification result, or effectiveness evidence required by the request. Record each gap, keep the SCAR open, and review the reply against the linked NCR.

The planned workflow keeps the supplier corrective action request, response due date, response received date, evidence, review notes, linked actions, and closure decision together internally. When the supplier response creates an internal process change, link it to the corrective action record.

Review customer CAR responses before release

A customer CAR should be checked against the request, original defect, containment, correction of affected product, corrective action, verification, effectiveness evidence, and any required 8D response before release.

Where the issue reached the customer, keep the occurrence cause and escape weakness separate. Send reviewed response content and approved evidence, not raw internal triage notes.

The planned workflow keeps the customer CAR linked to the original NCR or nonconformance record, or to the 8D report, so the quality team can review the response and supporting evidence before it is sent.

Review open CARs and SCARs by owner, due date, and response status

The planned register is intended to show which CAR or SCAR needs follow-up, evidence review, or a closure decision next.

Manufacturing examples that test the request and response decision

A CAR or SCAR is justified when someone requires a tracked response, evidence review, and closure decision—not merely because a defect was logged.

Supplier coating defect

Receiving inspection finds exposed base metal on coated brackets. The SCAR should carry the linked NCR, supplier response due date, receiving evidence, review notes, and closure decision.

Customer return

A customer returns a housing that leaks at the seal interface. The CAR should stay linked to the NCR or 8D, containment status, response owner, supporting evidence, reviewed reply, and closure decision.

Late supplier response

The response date has passed and the supplier has not provided the revised process document or verification evidence. Keep the SCAR open, record the missing evidence, and assign the next internal follow-up.

Internal audit finding

An audit finds missing torque-record entries. The internal CAR should link the finding, action owner, checklist revision, verification evidence, effectiveness review, and closure decision.

Repeat supplier issue

A repeat coating defect should trigger a review of the earlier SCAR, supported cause, completed action, verification, and effectiveness evidence before the team decides whether to reopen the request or issue a new one.

Customer asks for evidence

Before replying to a customer evidence request, compare the approved response with the linked issue, action verification, and closure record. Do not send raw internal triage notes.

When Excel works—and when corrective action request software helps

Excel works for one owner, a small request list, and simple internal tracking. Corrective action request software becomes useful when customer CARs, supplier SCARs, responses, evidence, review gaps, due dates, and closure decisions must stay connected.

Questions about CAR and SCAR software

What is the difference between a CAR and a SCAR?

A CAR is a corrective action request that may come from a customer, audit or internal quality process. A SCAR is a supplier corrective action request sent to a supplier. 8Dflow is being built to track both internally while responses continue through the company’s existing customer and supplier channels.

How is corrective action request software different from corrective action software?

Corrective action request software tracks the formal request and required response: source, response owner, due date, evidence received, review notes and closure. Corrective action software tracks the process change raised from an issue, including implementation evidence, verification, effectiveness and closure.

Does 8Dflow provide a supplier portal or automated supplier emails?

No. 8Dflow is being built for internal tracking. Suppliers will not log in or upload through a portal, and 8Dflow will not send automated supplier emails or reminders. Teams will continue to exchange responses through their existing channels.
